Bookkeeper & AP Specialist

Job description:

We are seeking a experienced Bookkeeper to join our remote finance team. This critical role is the engine of our day-to-day financial operations, ensuring accuracy in project accounting, seamless vendor payments, and precise financial reporting. You will work independently during the night shift to support our US-based accounting and project management teams, using key tools like BQE Core and SmartSheet.

Key Responsibilities:

Financial Operations & Reconciliation:

  • Perform daily and monthly bank account and credit card reconciliations.
  • Accurately record and manage all invoices, receipts, and financial transactions in BQE Core.
  • Maintain and update purchase orders (POs) in both BQE Core and SmartSheet to ensure real-time project cost tracking.

Accounts Payable & Vendor Coordination:

  • Process and schedule payments for both project-related and overhead vendor bills.
  • Monitor and manage the centralized Accounts Payable inbox daily.
  • Liaise with vendors and internal Project Managers to resolve invoice or PO discrepancies.

Payroll Processing & Compliance:

  • Handle semi-monthly or monthly payroll processing, including tax allocations and expense bookings.
  • Manage payroll accruals, reclassifications, and related journal entries.
  • Ensure all financial activities comply with standard accounting principles and internal policies.

Reporting & Communication:

  • Prepare and submit accurate monthly financial reports to the designated shared folder.
  • Act as the primary liaison with the Client’s Director of Accounting for reporting and review.
  • Coordinate effectively with Project Managers regarding project finances.
  • Collaborate with BQE Core technical support to troubleshoot and resolve any software issues.

What We’re Looking For (Requirements):

  • Proven Experience: 4+ years of full-charge bookkeeping or staff accounting experience.
  • Software Expertise: Mandatory hands-on experience with BQE Core accounting software. Experience with SmartSheet is a strong plus.
  • Technical Skills: Proficiency in online banking platforms, Google Workspace/Microsoft 365, and a major payroll processing software (e.g., Gusto, ADP).

  • Excellent written English communication skills for remote collaboration.
  • Strong understanding of project-based accounting and the full accounts payable cycle.
  • Ability to work independently, manage time effectively, and meet deadlines in a remote, self-directed night shift role.
