Job description:
We are looking for a systematic and detail-focused Process Documentation Specialist to join our operations team. Your primary mission will be to map, document, and standardize all our key processes. The end goal is to create a central, easy-to-understand knowledge base that enables seamless training for new hires and ensures consistent operations. You will be the architect of our procedural clarity.
Key Responsibilities:
- Interview subject matter experts (SMEs), observe workflows, and analyze existing materials to fully understand end-to-end automotive processes.
- Create clear, step-by-step Standard Operating Procedures (SOPs), workflow diagrams, and process maps for various departments (e.g., Parts & Service, Vehicle Logistics, Sales Operations, Customer Support, Inventory Management).
- Develop and maintain a structured, digital library of all process documentation that is easy to search and navigate.
- Design intuitive process guides and training manuals specifically to onboard new team members, allowing them to become operational quickly.
- Regularly review and update all documentation to reflect process improvements, policy changes, or new industry standards.
- Ensure all documentation is user-friendly, visually organized, and accessible to team members with varying levels of experience.
Required Skills and Qualifications:
- Proven experience (2+ years) in process documentation, technical writing, or business process mapping. Experience within the automotive industry is a strong advantage.
- Superior written English skills with an exceptional ability to break down complex tasks into simple, actionable instructions.
- Strong visual communication skills; proficiency in flowchart/diagramming tools (e.g., Microsoft Visio, Lucidchart, Draw.io).
- Excellent interviewing and active listening skills to extract information from team members.
- Highly organized, with a methodical approach to structuring information.
- Self-driven and capable of managing multiple documentation projects remotely with minimal supervision.
Preferred Qualifications:
- Direct experience working in an automotive dealership, distributor, service center, or related automotive business.
- Familiarity with common automotive terminology, systems (e.g., DMS – Dealer Management Systems), and core operational cycles.
- Certification in Business Process Management (BPM) or Technical Writing.
- Experience with knowledge base software (e.g., Confluence, SharePoint, Guru).
